The long lead item is usually a data circuit, and the second is a freight elevator you cannot reserve for the day you wanted. Furniture is the easy part. Here is how to sequence a Chicago office relocation so the parts that actually control your timeline get handled first.

Work backwards from the first day you must be operational

Not from your lease expiration. From the morning your team needs to sit down and work.

Then build in overlap between the two leases. Holdover provisions in commercial leases are punitive by design, and a move that finishes on the final day of your term leaves you no room for a delayed circuit or a building that reschedules your dock slot. If your lease structure allows even two weeks of overlap, take it. It is the most valuable protection in the entire project.

Once you have that operational date, count backwards.

Twelve weeks out: order connectivity and name an owner

Two things happen first, and only two.

Order your internet and phone service for the new address. Business circuit installation can take weeks, sometimes considerably longer if the building needs new cabling or the carrier has to bring service to the suite. Order it the moment your lease is signed, ask specifically whether the building is already served by your carrier, and get an install date in writing. Every other date in your plan depends on this one.

Name a single project owner. An office move involves a mover, an IT team, a telecom carrier, a furniture installer, a cabling contractor, two property management offices, a cleaner, and possibly a locksmith and a signage vendor. If nobody owns the master schedule, the vendors will each optimize for themselves and the conflicts will surface on move weekend.

Also in this window: get a floor plan of the new space and confirm your existing furniture actually fits it. Workstation counts, ceiling heights for tall storage, door widths for conference tables. Discovering in week two that eleven desks do not fit is a manageable problem. Discovering it on the truck is not.

Eight weeks out: lock the building, not just the mover

This is where Chicago differs most from a residential move, and where assumptions get expensive.

Downtown buildings typically require freight elevator reservations, and many restrict commercial moves to evenings or weekends rather than business hours. That is the reverse of the residential rule and it usually means the building’s own engineer must be on site to operate the elevator, on overtime, billed to you. Some buildings also have labor requirements for certain installation work. Ask property management at both ends, in writing, for their move rules, available windows, and any fees.

Loading docks in the Loop are shared and time-slotted. If your new building has no dock, which is common in older River North and West Loop conversions, you may need a street permit for the truck instead, and that has its own lead time. If your building requires it, confirm who files it.

Both buildings will also want a certificate of insurance from your mover, naming each building entity as additional insured at specific limits. Request those requirements now and hand them to the mover, because chasing a certificate the week of the move is how dates slip. Experienced office movers in Chicago have usually seen most downtown buildings’ requirements before and can turn documentation around quickly, but they cannot produce it against limits nobody gave them.

Book the mover in this window too, with a walkthrough of both spaces rather than a phone estimate.

Six weeks out: decide what does not move

Every office move is also a disposal project, and the disposal decisions gate everything after them.

Sort your inventory into what moves, what gets sold, what gets donated, and what is destroyed. Then handle two categories carefully.

Electronics cannot go in a dumpster, and any device that held company or client data needs documented wiping or destruction rather than a trip to the alley. Ask your IT team for a certificate of destruction on data-bearing equipment.

Paper records need the same discipline. If you have client files, HR records, or financial documents you are not taking, arrange secure shredding with a chain of custody rather than deciding on move weekend that the recycling bin is fine.

Four weeks out: IT plan, labeling system, and the people

Decide who disconnects and reconnects. Movers transport equipment, IT teams certify it works. Run a full backup before anything is unplugged. Photograph cable configurations behind servers and switches. Decide whether critical infrastructure travels with your IT staff rather than on the truck.

Labeling. Build a system now and print it. Number or color code every destination room on the new floor plan, put matching labels on every crate, monitor, and piece of furniture, and post the plan at the door of the new space so crews route items without asking. This single step removes most of the chaos from unload day.

People. Give employees their new seat assignment, a crate or box for personal items with a deadline, and clear instructions on what they pack versus what the crew handles. Confirm building access, badges, or a visitor process at the new address, and get the mover’s crew onto the access list at both buildings.

One week out: confirm everything in writing

Reconfirm the elevator and dock reservations at both buildings, the mover’s arrival time and crew size, the certificate of insurance on file at both properties, your circuit install completion, and your after hours HVAC and security access. Walk the new space to verify it is actually ready, meaning cabling terminated, power where you need it, and cleaning done.

Assign someone to be physically present at each end on move day with authority to make decisions.

Move weekend and the punch list

Have a person at origin directing what leaves and a person at destination directing where it lands. Protect common areas at both ends, masonite on floors and pads in elevators, before the first item moves.

Then plan the first morning back deliberately. Someone should arrive early to verify network, phones, printers, and access before your team does. Keep a running punch list for the week: missing items, damaged pieces, furniture that needs adjustment, and anything the building flagged. File any damage claims within your mover’s stated window rather than after it.

The part everyone forgets

Your address lives in more places than you think, and the list takes a week of small tasks.

Update your Google Business Profile and every online directory, your website, your invoices and letterhead, your bank and payment processors, your business insurance, your registered agent and state filings, your vendors, and your mail forwarding. In Chicago, confirm whether your city business license or permits are tied to your address and what needs to be filed with the city to reflect the change, since that varies by license type.

None of this is difficult. All of it is forgettable, and forgetting the license piece is the one that occasionally becomes a real problem.

The short version

The mover is not your constraint. Your circuit install date and your building’s move window are. Settle those two first, put one person in charge of the schedule, decide early what you are not taking, and label everything against a posted floor plan. Do that and move weekend becomes logistics rather than crisis.

Most office moves that go badly did not fail on move weekend.
